CRM and Sales Pipeline Automation for Service Companies
CyberGipsy rebuilds your sales pipeline so that data enters itself: every enquiry, call, quote and follow-up is logged automatically, deals move stage on real events, and nothing sits untouched. Contractors typically recover a double-digit share of quotes that used to go quiet.
Definition. CRM automation is the removal of manual data entry and manual follow-up from a sales pipeline, so that the record of what happened is created by the work itself rather than by someone remembering to type it in.
The problem this removes
- The CRM is a graveyard. Nobody updates it, so nobody trusts it, so nobody updates it.
- Quotes are sent and then forgotten. You find out you lost when you see the competitor's van.
- You cannot answer a simple question: how many open quotes are worth chasing this week?
What we actually build
Pipeline design
Stages that match how your business really sells, usually 5-7, not 14.
Auto-capture
Calls, emails, WhatsApp, forms and site visits logged to the right deal without anyone typing.
Transcription and summary
Every call transcribed, summarised, and turned into next actions on the record.
Quote tracking
Open, viewed, unanswered, expiring. Automatic nudges at the intervals that actually work.
Stale deal rescue
Any deal untouched for N days triggers a personalised reactivation.
Owner dashboard
Weighted pipeline, win rate by service and by source, average days to close.
Data hygiene agent
Dedupes, fixes formats, enriches company data, flags contradictions.
How the install works
Five steps. Nothing here is a workshop.
Map the real process
We watch how a job actually gets sold in your company, not how the manual says.
Rebuild the pipeline
Fewer stages, clear exit criteria, one owner per stage.
Connect the channels
Phone, mail, messengers and forms wired into the record.
Automate the chase
Follow-up ladders per deal size and service type.
Train and enforce
Two short sessions, one rule: if it is not in the pipeline, it does not exist.
What changes, in numbers
Honest ranges from installs of this type. Your baseline is measured during the diagnostic so the comparison is yours, not an industry average.
| Measure | Typical before | After install |
|---|---|---|
| Manual data entry per rep | 45-90 min/day | Near zero |
| Quotes with a scheduled follow-up | 20-40% | 100% |
| Deals with a recorded next step | Some | All |
| Time to produce a pipeline report | Hours | Instant |
| Dormant quotes reactivated | 0 | Ongoing, automatic |
What AI will not do here
Automation cannot fix a pipeline nobody has agreed on. If two managers disagree about what "proposal sent" means, the data stays useless. We spend the first week on definitions, and that week is the one people try to skip. Also, an AI summary of a call is a summary: for contractual detail, the recording remains the source of truth.
CRM & Sales Pipeline Automation: questions we get asked
Do I have to change CRM?
No. We work with what you have. If you have nothing, we recommend an option that fits your size and budget and set it up in your name. You keep the account and the data either way.
Will my team actually use it?
That is the whole design goal. The rule we follow is that using the system must be easier than avoiding it. If a manager has to type things twice, they will stop, and we treat that as our bug.
Can it write the follow-ups?
Yes, drafted per deal with the real context of the job and the last conversation. You choose whether they send automatically or after a one-tap approval.
What about calls made from mobile phones on site?
We connect a business line or a mobile integration so those calls are logged and transcribed too. Calls that never touch the system are the biggest single source of pipeline blindness.
How long does the install take?
Two to four weeks for most service companies, including training. Complex multi-branch setups take longer, mostly because of phone system integration.
Is my client data safe?
It stays in your CRM, under your account, governed by your contract with that vendor. We sign an NDA and a data processing agreement, and we hold no copy of your customer database.
