AI Finance, Invoicing and Cashflow Control

CyberGipsy automates invoicing from completed work, chases receivables politely and relentlessly, reconciles payments, and produces a rolling thirteen-week cashflow forecast. For service businesses, late payment is usually a bigger threat than low margin.

Definition. Finance automation is the generation of invoices from operational events, the automated pursuit of payment, and continuous forecasting of cash position from live data.

The problem this removes

  • Invoices go out late because someone has to assemble them from job notes.
  • Chasing payment is awkward, so it happens too late and too rarely.
  • You know your bank balance but not your position in six weeks.

What we actually build

  1. Invoice generation

Triggered by job completion, milestone or schedule, with the right evidence attached.

  2. Approval and dispatch

Checked, branded, sent to the right contact in the right format, including portal submissions.

  3. Receivables chasing

A polite, escalating ladder, per customer type, that runs without anyone feeling awkward.

  4. Reconciliation

Payments matched, partial payments handled, disputes flagged early.

  5. Cashflow forecast

Thirteen weeks rolling, driven by the real pipeline, schedule and payment behaviour.

  6. Expense and receipt capture

Photographed on site, coded to the job, into the accounts.

  7. Alerts

Concentration risk, slow payers, jobs consuming cash faster than they bill.

How the install works

Five steps. Nothing here is a workshop.

  1. Connect the accounting system

We build on your existing ledger, not beside it.

  2. Automate the invoice trigger

Work completed becomes money requested, the same day.

  3. Install the chase ladder

Written once, run forever, escalating on schedule.

  4. Build the forecast

Pipeline plus schedule plus payment history.

  5. Review weekly

One short cash meeting driven by a report nobody has to prepare.

What AI will not do here

This is not accounting advice and it does not replace your accountant or your obligations. Forecasts are estimates and become unreliable when the pipeline data is fantasy. Automated chasing also needs a human hand on relationships: for your largest clients, a call from the owner will always beat the fourth automated reminder, and we design the ladder to escalate to a person rather than to keep emailing.

AI Finance, Invoicing & Cashflow: questions we get asked

Does it replace my accountant?

No. It gives your accountant clean, timely data and gives you a live operational view between their reports. Most accountants prefer working with a business that runs this way.

Which accounting systems does it work with?

The common cloud ledgers used in each of our markets. Where a local system has no integration, we work through file exchange, which is slower but workable.

Is automated chasing rude?

Not if the tone is right. The most effective ladders are polite, specific and early. Businesses lose far more goodwill by suddenly demanding payment at ninety days than by asking clearly at seven.

Can it handle retentions and staged payments?

Yes, including milestone billing, retentions and applications for payment, which is essential in contracting.

How accurate is the cashflow forecast?

As accurate as your pipeline and schedule. It improves quickly because payment behaviour per customer is learned from actual history rather than from stated terms.

What about VAT and multi-currency?

Handled by your ledger; the automation respects its rules. Multi-currency and cross-border invoicing are configured per city during the install.

Is ai finance, invoicing & cashflow your highest-return system?

The audit ranks every automation by return for your specific business. Most companies discover the answer is not the one they expected.
