AI Procurement and Supply Chain for Trades and Workshops
CyberGipsy automates the boring half of buying: requests to suppliers, comparison of quotes on like-for-like terms, purchase orders, delivery tracking, invoice matching and stock forecasting. Buyers spend their time negotiating instead of retyping.
Definition. AI procurement automation is the use of agents to request, normalise and compare supplier offers, raise orders, track deliveries and reconcile invoices, so purchasing decisions are made on complete, comparable information.
The problem this removes
- Three suppliers send three different formats and someone rebuilds them in Excel every time.
- Materials arrive late and the crew stands idle at full cost.
- Nobody notices that a supplier raised prices eleven percent over six months.
What we actually build
Request automation
Standard RFQ sent to your approved supplier list from a job's material list.
Quote normalisation
Different formats parsed into one comparable table, including delivery and terms.
Decision support
Total landed cost, lead time and reliability history, not just unit price.
Purchase orders
Raised, approved and tracked, linked to the job.
Delivery tracking
Expected versus actual, with alerts before a delay hits the programme.
Invoice matching
Three-way match against order and delivery, discrepancies flagged.
Forecasting
Consumption patterns by season and by job type, so stock is ordered before it runs out.
How the install works
Five steps. Nothing here is a workshop.
Clean the supplier list
Approved suppliers, agreed terms, current contacts.
Standardise the request
One RFQ format that forces comparable answers.
Automate the comparison
Parsing and normalising quotes is where most of the time goes.
Connect to jobs and accounting
Orders carry the job code from the start.
Add forecasting
Once six months of clean consumption data exists.
What changes, in numbers
Honest ranges from installs of this type. Your baseline is measured during the diagnostic so the comparison is yours, not an industry average.
| Measure | Typical before | After install |
|---|---|---|
| Time to compare three supplier quotes | 1-3 h | Minutes |
| Orders linked to a job code | Partial | All |
| Invoice discrepancies caught | By luck | Systematically |
| Price drift detected | Rarely | Monthly, per item |
| Stock-outs causing idle crew time | Recurring | Forecast and reduced |
What AI will not do here
Procurement is a relationship business as much as a data one. The system will show you a cheaper supplier; it cannot tell you which supplier will find you a part on a Saturday. We build the analysis to support the buyer's judgement, not to replace it, and we keep manual override on every order. Small-volume buyers also have limited leverage, and no software changes that.
AI Procurement & Supply Chain: questions we get asked
Do my suppliers need to change anything?
No. The system reads whatever they already send, including PDFs and emails, and normalises it. Asking suppliers to adopt your portal usually fails.
Can it negotiate?
It can draft a well-argued counter using price history and competing offers. The negotiation itself stays with your buyer, which is where the relationship value sits.
Does it handle multiple currencies?
Yes, with landed cost including duty, freight and currency effects, which matters in most of the cities we work in.
What about inventory in a workshop?
Consumption-based forecasting with minimum levels per item and automatic reorder suggestions, tuned to your lead times.
Will it integrate with my accounting software?
Purchase orders and matched invoices export to common accounting systems. Full automated posting depends on which system you use.
Is it worth it for a small firm?
If materials are a significant share of your cost base and someone spends hours a week on ordering and reconciliation, yes. If you buy from one merchant on account, probably not, and we will tell you that.
