Document, Contract and Compliance Automation
CyberGipsy automates the paperwork layer: contracts and variations generated from job data, incoming documents read and filed, deadlines and certificates tracked, and compliance packs assembled on demand. Legal review stays human; the assembly and chasing do not.
Definition. Document and compliance automation is the generation, extraction, classification and tracking of business documents by software, so that paperwork follows the work automatically.
The problem this removes
- Contracts are copied from the last job and someone forgets to change the dates.
- Certificates and insurances expire silently until a client asks for them.
- Assembling a compliance pack for a tender takes two days of searching folders.
What we actually build
Template library
Contracts, variations, terms, warranties, handover packs, all versioned and approved.
Generation from job data
Documents built from the real job record, not retyped.
Incoming document processing
Invoices, certificates, drawings and permits read, classified and filed automatically.
Obligation tracking
Key dates, notice periods, retentions, warranties and renewals monitored with alerts.
Compliance register
Licences, insurances, qualifications and inspections, per person and per company.
Tender and audit packs
Assembled on demand from the register.
E-signature and archive
Signed, stored, searchable, retention-managed.
How the install works
Five steps. Nothing here is a workshop.
Collect and rationalise templates
Usually there are eleven versions and two are correct.
Get legal sign-off once
Approved templates, then automated assembly forever after.
Wire to job data
Names, scopes, prices and dates flow in automatically.
Build the register
Everything with an expiry date goes in, with owners.
Automate the chase
Renewals and missing documents chased without anyone remembering.
What changes, in numbers
Honest ranges from installs of this type. Your baseline is measured during the diagnostic so the comparison is yours, not an industry average.
| Measure | Typical before | After install |
|---|---|---|
| Time to produce a contract | 30-90 min | Under 5 min |
| Expiring documents tracked | In someone's head | All, with alerts |
| Time to assemble a tender pack | 1-2 days | Under an hour |
| Incoming documents filed manually | All | Few |
| Version control on templates | None | Full history |
What AI will not do here
Generation is not legal advice. Templates must be approved by a qualified lawyer in each jurisdiction we operate in, and cross-border work multiplies that requirement. The system enforces the approved wording and flags deviations; it does not decide what the wording should be. Extraction from poor scans and handwriting still needs human checking, and we design the workflow so unverified extractions are visibly marked.
Document, Contract & Compliance Automation: questions we get asked
Can it write my contracts?
It assembles them from templates your lawyer approved, populated with real job data. It should not invent clauses, and we configure it so that any deviation from the approved template requires sign-off.
What about different countries?
Each jurisdiction gets its own approved template set. This is one of the areas where operating in fifty cities forces discipline rather than shortcuts.
How does it read supplier invoices?
Document extraction pulls line items, totals, dates and references, matches them to orders, and flags anything that does not reconcile for a person to check.
Is e-signature legally valid?
In most of our markets, yes, for most commercial documents, with exceptions. We note the exceptions per city in the delivery documentation.
Where are documents stored?
In your own storage, under your retention policy. We do not hold your contracts in a system you cannot leave.
What is the fastest win here?
The compliance register. Businesses lose real work to expired certificates far more often than they lose it to bad contracts.
