Knowledge Base and SOP Automation for Growing Teams

CyberGipsy turns how your company actually works into a searchable internal assistant: procedures captured from recordings and real jobs, kept current automatically, and answered in seconds by an agent that cites the source document. The owner stops being the help desk.

Definition. SOP automation is the capture, maintenance and instant retrieval of a company's operating procedures, so that knowledge lives in the business rather than in individual heads.

The problem this removes

  • Every question goes to the same two people, who are also the busiest.
  • Procedures exist in a folder nobody opens because they are two years out of date.
  • When someone leaves, a decade of knowledge leaves with them.

What we actually build

  1. Capture

Screen recordings, voice walkthroughs and real job records turned into written procedures.

  2. Structure

One format per procedure: trigger, steps, standards, exceptions, owner, last reviewed.

  3. Internal assistant

Ask a question in chat, get an answer with a citation to the source procedure.

  4. Freshness control

Procedures with an owner and a review date, chased automatically.

  5. Gap detection

Questions the assistant could not answer become the list of procedures to write next.

  6. Onboarding paths

Role-based reading and training sequences generated from the same base.

  7. Multilingual

Answers in the language of the crew, which matters in most of our cities.

How the install works

Five steps. Nothing here is a workshop.

  1. Record the top twenty tasks

The things people ask about most, captured by doing them once on camera.

  2. Generate the first procedures

Drafted automatically, corrected by the person who does the job.

  3. Deploy the assistant

In the tool your team already uses, usually a messenger.

  4. Measure the questions

What people ask reveals what is missing.

  5. Institutionalise review

Owners, dates and a monthly ten-minute check.

What changes, in numbers

Honest ranges from installs of this type. Your baseline is measured during the diagnostic so the comparison is yours, not an industry average.

What AI will not do here

A knowledge base is a maintenance commitment, not a project. Without named owners and review dates it decays within months and the assistant starts confidently citing outdated procedures, which is worse than having none. Tacit skill also does not document well: an assistant can tell a technician the procedure, but not how a job feels when it is about to go wrong.

Knowledge Base & SOP Automation: questions we get asked

How do we write procedures without spending months?

You do not write them. You do the task once while recording, and the system drafts the procedure. Correction takes minutes, and correction is far easier than composition.

Where does the team access it?

In whatever they already use, usually WhatsApp, Telegram, Slack or Teams. A knowledge base with its own login is a knowledge base nobody opens.

What stops it giving outdated answers?

Every procedure has an owner and a review date, and stale ones are flagged in the answer itself. The assistant says when a source was last confirmed.

Is company knowledge used to train external models?

No. We configure enterprise settings so your content is not used for training, and we document exactly where data is processed and stored.

Can it handle safety-critical procedures?

It can retrieve them, but safety-critical work still requires the formal signed procedure and qualified sign-off. The assistant points to the controlled document rather than paraphrasing it.

What is the first thing to document?

Whatever the owner is asked about most. Track the interruptions for a week and you have your list.

Is knowledge base & sop automation your highest-return system?

The audit ranks every automation by return for your specific business. Most companies discover the answer is not the one they expected.
