Voice AI Agents for Call Handling, Booking and Reactivation

A voice AI agent answers your phone when nobody can, takes the details of the job, books the slot and sends you a written summary. CyberGipsy installs voice agents for missed-call recovery, after-hours cover, appointment reminders and database reactivation, on your existing business number.

Definition. A voice AI agent is a conversational system that speaks with callers in real time over the phone, understands intent, retrieves information and completes tasks such as booking, qualifying or confirming.

The problem this removes

  • A third of your calls go unanswered because the crew is on site and the phone is in a van.
  • Missed calls are never returned. Each one is a job that went to a competitor.
  • No-shows and last-minute cancellations wreck the schedule and nobody has time to confirm every appointment.

What we actually build

  1. Missed-call rescue

Any unanswered call is called back within minutes, or answered instantly by the agent.

  2. After-hours line

Evenings, weekends and holidays covered with real qualification, not a voicemail.

  3. Overflow

When your line is busy, the agent picks up rather than letting it ring out.

  4. Reminder and confirmation calls

Automated, two-way, with the ability to reschedule on the call.

  5. Database reactivation

Calls to your own past customers about maintenance, servicing or seasonal work.

  6. Live transfer

Warm hand-off to a human with context, on request or on trigger words.

  7. Recording, transcript and CRM write-back

Every call summarised into the deal record.

How the install works

Five steps. Nothing here is a workshop.

  1. Choose the job

Missed-call rescue first. It has the fastest and clearest payback.

  2. Script and boundaries

What it may say, what it must never say, when it transfers.

  3. Number and telephony setup

On your own number, with call flows and fallbacks.

  4. Pilot on a subset

One shift or one service line, measured against human handling.

  5. Expand

Add after-hours, reminders and reactivation once quality is proven.

What AI will not do here

Voice is the hardest channel to get right. Accents, noisy sites and poor lines cause errors, and a bad voice agent damages your brand faster than no agent at all. We start with the lowest-risk use case, run it in parallel with humans, and only expand on measured quality. Emergency calls, complaints and pricing negotiations always go to a person. Outbound voice is restricted in several markets and we configure accordingly.

Voice AI Agents & Call Handling: questions we get asked

Can callers tell it is not human?

Many can, some cannot. We disclose at the start of the call. In practice, callers care far more about being helped at 21:00 than about who helps them, as long as they are not deceived.

What happens if it cannot understand the caller?

It apologises, offers a transfer or a callback, and logs the failure for review. Silent failure is the one behaviour we do not allow.

Does it use my existing phone number?

Yes. It sits in front of or behind your current line depending on the use case, with fallbacks so that a technical fault never sends callers to dead air.

Is recording legal?

It depends on the city, and some require consent from both parties. We configure announcements and consent per market and note the rules in the delivery document.

Can it handle emergencies?

It recognises urgency signals and transfers immediately, or dispatches according to your on-call rota. It never tries to manage an emergency on its own.

How is it priced?

Usually a build fee plus per-minute usage. The comparison to draw is against an answering service, and against the value of the jobs currently lost to unanswered calls.

Is voice ai agents & call handling your highest-return system?

The audit ranks every automation by return for your specific business. Most companies discover the answer is not the one they expected.
